How to Update Phone Buttons, BLF Keys and Speed Dials
Updating Your Desk Phone Buttons
Once you’re signed into the portal, click the Phones tab at the top of the screen.
You’ll see a list of desk phones assigned to your extension/user.
Locate your phone model in the list:
- A green checkmark means the phone is online and registered properly.
- A red X means the phone is currently offline or not registered.
To edit your phone’s buttons, click the cog wheel icon on the far right side of the device.
A pop-up window will appear asking:
“Edit button configuration for this phone”
Click the red Yes button to continue.
Understanding Your Phone Layout
The phone diagram shown on the screen will vary depending on your phone model.
Most phones will already have:
- Lines 1 and 2 assigned to your extension
These are required default lines and should not be removed.
In most cases:
- Buttons 3 and 4 are reserved for Call Parks
These buttons are usually configured by your system administrator and generally should not be changed.
What Are Call Parks?
A Call Park allows you to place a caller into a shared holding area with hold music so you can continue working without remaining connected to the call.
Unlike putting someone on hold:
- The call becomes available for anyone else to retrieve
- Other users can pick up the parked call by:
- Dialing the park extension
- Pressing the corresponding phone button
You can tell when a parked call is active because the button indicator changes:
- Green = Available
- Red = Someone is parked there
Because Call Parks are system-wide features, basic users cannot edit or change them.
Dynamic vs Static Buttons
Most phones are configured using Dynamic Buttons.
Dynamic buttons automatically update when:
- User names change
- Extensions are updated
- Contact information changes
The portal will show which directory your phone buttons are pulling from.
For example:
- All Contacts
- A department directory
- A site/location directory
You can change which directory your phone uses if needed.
Changing a Button
To clear and reassign a button:
- Click the three dots next to the button
- Select Clear Button
Then:
- Open the drop-down menu
- Select User (BLF) or your system’s equivalent user-monitoring option
- Enter the user’s name or extension number
Optional:
- Add a custom label if desired Note: Custom labels will not update automatically if the user’s name or extension changes later.
Adding a Speed Dial
To create a speed dial:
- Open the button type drop-down menu
- Select Speed Dial
- Enter the phone number
- Add a custom label for the button name
Queue Login / Logout Buttons
If your organization uses call queues, you can add:
- Queue Login
- Queue Logout
These buttons automatically sign you in or out of all queues assigned to your extension/user.
Rearranging Buttons
You can move buttons around by:
- Clicking and holding the button number
- Dragging it to a new location
Saving Your Changes
Once you’re finished making changes:
- Click the blue Save button at the bottom of the screen
To apply the changes immediately:
- Click the arrow next to Save
- Select Save and Resync
This will send the updated configuration to your phone the next time it becomes idle.
Important: Resyncing will not disconnect an active call. Your phone will wait until you are no longer on a call before applying the update.
